Head of Department
Duties, Authorities and Responsibilities
 
  • To perform the duties specified in the relevant academic organization law of the Academic Personnel Law No. 2547,
  • He chairs the departmental boards.
  • Membership on the Faculty Board.
  • Reports the department's needs in writing to the Authority.
  • It ensures that all kinds of correspondence between the office and the department are carried out in a healthy way.
  • It provides coordination between the departments affiliated to the department.
  • It ensures that the course distribution of the department is made in a balanced way among the lecturers.
  • It ensures the regular continuation of education in the department.
  • It ensures timely and accurate preparation of additional course and exam fee schedules.
  • Identifies the department's problems related to education and submits them to the Authority.
  • It carries out the evaluation and quality improvement studies of the department, and submits the reports to the Authority.
  • Working in coordination with the Dean's Quality Unit, it carries out the accreditation studies of the programs affiliated to the Department.
  • It tries to create a communication environment among the faculty members in the Department for the purpose of carrying out education and scientific research in an efficient and effective manner.
  • It ensures that the course distribution of the department is made in a balanced and reasonable way among the lecturers,
  • It ensures efficient, effective, orderly and clean use of classrooms, study rooms, workshops, laboratories and course equipment in the department.  The Department submits its opinion in writing to the Dean's Office to be taken into account in extending the term of office of the faculty members affiliated to the Department.
  • Provides the necessary information about the Department for the Faculty Academic General Assembly.
  • It ensures that course registrations are made regularly at the beginning of each semester.
  • The department is closely interested in the educational problems of its students.
  • It ensures that the student-instructor relations in the department are carried out in a regular and healthy way in line with the aims of education.
  • Holds meetings with advisors so that course registrations can be made regularly.
  • It ensures that the undergraduate education and examination regulations and guidelines are implemented in accordance with the spirit.
  • It ensures that the instructors conduct their classes regularly.
  • It tries to create an appropriate communication environment among the faculty members in the Department for the purpose of carrying out education and scientific research in an efficient and effective manner. To carry out the processes related to the task within the framework of our University's Quality Policy and Quality Management System, in accordance with the quality objectives and procedures,
  • To ensure the management and administration of other works related to the process to which it is connected and given by its managers,
  • While performing all these duties written above in accordance with the laws and regulations, he is responsible to the managers to whom he is affiliated.

Department Secretary
Duties, Authorities and Responsibilities
 
  • Makes the correspondence between the faculty-department and between the departments and delivers them to the relevant places.
  • Files the documents and articles sent to and from the department.
  • It monitors the fulfillment of the necessary articles by the department chair and ensures that the necessary articles are forwarded to the Dean's Office on the same day.
  • Makes announcements of events such as meetings, seminars, conferences.
  • After they are signed, the Department Board writes the reports and sends them to the relevant places, and files a copy.
  • It makes the relevant announcements on the student bulletin boards of the departments and removes the expired ones.
  • Excuse leave of the department personnel, report, assignment, etc. writes the captions.
  • It announces the decisions of all other boards and commissions such as "Faculty Administrative Board" and "Academic General Assembly" regarding the student coming from the Dean's Office to the relevant academic staff. The department notifies the Dean of the decision of the department board by following the works and procedures regarding the extension of the term of office of the faculty members.
  • Prepares the cover letter to inform the dean of the finalized weekly course schedules.
  • It provides the examination of exemption petitions by the heads of departments and advisors.
  • Announces the articles about the students to the heads of departments, advisors and lecturers of the course, writes the opinion letter to the articles for which opinions are requested.
  • Records incoming documents and directs them to the dispatched units.
  • It provides the execution of the editorial works of the department. Duplicates the articles of the department as necessary and delivers them to the relevant parties.
  • It delivers the documents to the relevant person or unit and receives them from the related person or unit with embezzlement.
  • It provides the execution of midterm, end of semester, make-up, single course and additional exam procedures.
  • It ensures that the exemption procedures for the courses taken in the previous education of the students who come with new registration or lateral transfer and the exemption procedures for the students who are successful as a result of the exemption exam held by the University.
  • It ensures that the lecturers participate in scientific meetings at home and abroad, and their assignments for examination, research and practice are carried out.
  • It provides the process of opening new courses.
  • The unit ensures filing and delivery of materials to be transferred to the archive.
  • With regard to students, he/she performs all student affairs-related tasks other than the duties, powers and responsibilities of the Registrar's Office.
  • Performs other activities specified in laws and regulations under its own responsibility.
  • It carries out the processes related to its duties within the framework of our University's Quality Policy and Quality Management System, in accordance with the quality objectives and procedures.
  • Performs other works to be assigned by the manager or senior managers to which he is affiliated, in accordance with the occupational health and safety rules.
  • The Department Secretary is responsible to the School/Faculty Secretary, Head of the Department, Head of the Department, Deputy Dean and Dean, while performing all the above-mentioned duties in accordance with the laws and regulations.
 
Department Course Procedures Commission

  • In the Mechatronics Engineering Department, it is possible to make the definitions of the compulsory and elective courses and related courses, which are decided to be opened in line with the needs of the Department in the fall, spring and summer school terms, and the responsible lecturers of the related courses to OBS (Student Information System) of the Department's curriculum, in line with the Department's policy decisions and physical conditions. ensures that it is prepared in the most appropriate way.
 
Department Applied Trainings Commission

  • Internship Commission: The duty of the internship commission of the Department of Mechatronics Engineering, Faculty of Engineering, Karabuk University; To determine the procedures and principles related to the planning, execution and evaluation of practical applications to improve students' professional knowledge and skills.
 
Department Quality Commission
Duties, Authorities and Responsibilities
 
  • In line with the principles and decisions determined by the Quality Coordinatorship of our University and the Faculty Quality Board, it plans the work and operations in the Department, monitors its implementation, controls and takes the necessary measures. It provides the creation of forms, reporting and coordination with the relevant units.
 
Department Exemption and Adjustment Commission
Duties, Authorities and Responsibilities
 
  • The Exemption and Adjustment Commission arranges the exemption and semester/year adjustments of the courses that the students who are entitled to enroll in Karabuk University have previously taken from any Higher Education Institution, including Karabuk University, in the Summer, Spring and Fall academic terms, in accordance with the relevant regulations and guidelines. The commission takes decisions regarding the applications by holding regular meetings before the course selection week of each academic year.
 
Department Exchange Programs Mobility Commission
Duties, Authorities and Responsibilities
 
  • Our Department ensures that the students of our Department who are eligible for Erasmus, Mevlana and Farabi exchange programs are approved for mobility, course matching, approval of course add/removal processes when necessary, follow-up of problems that students may experience during the process, and grade conversions on their return.
  • It follows the course approval procedures of the guest students who come to our University through the relevant exchange programs from other educational institutions, coordinates the courses that can be given in English by contacting the relevant faculty members, and ensures that the problems that may arise before the students come to our department and during the course taking process are followed. In addition, necessary information, excursions, presentations, etc. about the guests coming to our University with the said exchange programs. organizations follow up.
 
Department Communication and Promotion Commission
Duties, Authorities and Responsibilities
 
  • To update the tabs of the department website, which are open to the administration in the system, and to add new content in line with the suggestions, requests and approvals of the Department Head,
  • Announcing the announcements from EBYS and/or the Department Head on the department website, sharing them with the faculty if necessary,
  • Managing the official social media account of the department,
  • To take part in the organization of works related to the promotion of the department.
